I hope that this is the right place to ask, if not, I apologize.


I've been teaching for over twenty years, and in two different school districts.


My first district had an easy rule about student records: keep everything until two years after their graduation date, but keep your gradebooks/planning books until you retire.



However, no one in my second district (where I currently work) has been able to give me an absolute answer, other than grades are all online now, so there is no need to keep a gradebook and grades are archived, so if I really need to look up a grade, say from 2009, I have that capability.



Resources I've searched online suggest you keep everything for a minimum of seven years.

Granted, I have never been challenged over my grades, or asked about paperwork from graduated students, but my filing cabinets are beginning to get full. I don't want to become 'that teacher' when I retire in a few years, leaving messes for others to clean up.

Suggestions?

Once they move up, all important papers are in the office file. Report cards are also online.

I only keep records if I think the next year’s teacher might have questions regarding certain students. And then, I only keep them a few months into the school year.

Once they leave me and the final report cards/records are done, I toss everything.

I empty my student files and toss any paper copies of grades at the beginning of the year. Before online gradebooks, we had to turn in our gradebook to the principal at summer checkout. I never saw them again.

It's this way at my school too. I don't keep anything at all once the year is over.

I cleaned them out when the new year started. Our principal did start collecting out photo releases and grade books about 3 years ago.

I am required to keep all of my IEP/testing records for 7 years. I have multiple filing cabinets full of records. It seems dumb to me, but I don't make the rules...

If it doesn't go in their files in the office, it gets tossed. I have never been told I have to keep anything. The office staff keeps some files for a certain number of years (7 I think) but everything else leaves the school when the kid does. The stuff the office keeps is mostly attendance records.
