How to get the point across to field trip chaperones?

Does anyone here have a letter you give to parents who volunteer to help chaperone field trips? Specifically, I need help with a respectful but clear way to get the point across that you may not bring along other children, and that you are there to take control of and closely supervise students. Know what I mean? How do you word your letter?

Thanks for your help!

Here's my 'mean' letter to the chaperones at our school.
( At least that's what my crew calls it.)

We gave a letter with numbered bullets outlining expectations. We were quite explicit as to the expectations.

We clearly and simply stated that siblings were not allowed to accompany us because of space on the bus and insurance purposes.

I did make an exception last year when a Mom asked to bring her kindergarten daughter along on our grade 1 trip. Her husband was deployed in Afghanistan at the time and she didn't have anyone to look after her daughter. To do otherwise would simply have been mean on my part.

You're welcome to use it as is or parse it out to make it match your needs. Granted this does not improve your chances for better escorts, but at least you provide expectations and can hope for the best.

This is the statement that we include in our permission letter for chaperones:

" There are no accommodations for younger siblings. Please keep them at home so you can spend some quality time with your first grader."

Great letter Bonnebell.
